Privacy Policy — MatchOps by Match Director HQ

Last updated: 2026-10-17 Effective: 2026-10-17

This Privacy Policy describes how Old Johnson Firearms LLC, doing business as Match Director HQ, of New Hampshire, United States (the "Company", "we", "us" or "our"), collects, uses, discloses and retains personal information in connection with MatchOps by Match Director HQ, including the websites at matchdirectorhq.com, app.matchdirectorhq.com and score.matchdirectorhq.com and the software made available through them (together, the "Service"). Capitalised terms not defined here have the meanings given in the Terms of Use.

1. Summary

The Service holds the information needed to plan and operate shooting matches: who is registered, their squad, and their scores. The Company does not sell personal information, does not use it for advertising and does not use analytics or tracking technologies.

Information published on public Match pages. If you register for a Match, your name, division and squad are published on that Match's public page, which anyone with the link may view, together with your scores and placing once the Match is under way. If you add a profile photo, rifles or social media links to your Competitor profile, those are also published on the Match's public page.

2. Information We Collect

2.1 Information you provide when you register for a Match or maintain a Competitor profile:

  • name, email address and telephone number;
  • PRS number and club membership number, if you choose to provide them;
  • home club, if you choose to provide one;
  • division and squad preference;
  • the rifles you use, by component, and the rifle with which you entered a Match;
  • emergency contact name and telephone number;
  • a profile photograph and links to Instagram, YouTube, Facebook or a website, if you choose to add them; and
  • a record that you accepted a Club's waiver, the version accepted and the time of acceptance.

2.2 Information provided by a Director who enters you as a walk-in Competitor:

  • the name, division and squad the Director enters for you, and your email address and telephone number if the Director provides them; and
  • the Director's confirmation that a signed paper waiver was collected from you.

If the Director provides your email address, we send you a single-use link by which you may claim the entry into your own account.

2.3 Information recorded at a Match:

  • whether and when you checked in, or that you did not attend;
  • your scores, stage by stage, as recorded by a scoring tablet; and
  • which tablet recorded each score, and when.

2.4 Information relating to Directors and Clubs:

  • Club membership and role;
  • all information entered about a Club and its Matches, stages and equipment;
  • the Club's address, website and photograph, which are shown on the Club's public page, and the Club's contact email address;
  • photographs of equipment such as targets, barricades and props; and
  • problem reports submitted through the Service, which are delivered to us by email together with the submitting user's email address so that we may respond.

2.5 Information created automatically:

  • Sign-in identity. Your Google identity, or your email address and password, is managed through Google Firebase Authentication. The Company does not receive or store passwords.
  • Change records. A record of changes made in the Service, including who made each change, when, and the values before and after. These records allow a Director to determine what happened to a stage or a score.
  • Email records. A record of each email the Service sends, including the recipient address, the type of message and the time it was sent.
  • Network address digests. When the Service's public Club or Match pages are requested, when a scoring tablet joins a squad, or when a Director invitation link is opened, the Service applies a one-way hash to the requesting network (IP) address and stores the result with a request counter. This is used solely to limit excessive requests and repeated guessing of links. The network address itself is not stored. A hashed network address is not anonymous: a person holding the hash and sufficient computing resources may be able to recover the original address.

2.6 Information about invited Directors. When a Club invites a person to become a Director, we store the invitee's email address and, if the inviting person supplies it, the invitee's name. This information is stored when the invitation is created, before the invitee has an account and whether or not the invitation is accepted. An invitee who does not wish this information to be retained may ask us to delete it.

3. Information We Do Not Collect

The Service does not:

  • use browser or device fingerprinting, or log user-agent information;
  • use analytics, telemetry, session recording or heat-mapping tools of any kind;
  • use advertising, advertising identifiers or third-party trackers;
  • set cookies for tracking (only what is necessary to keep you signed in is stored);
  • collect payment information, as the Service does not process payments; or
  • collect photographs of people, other than a profile photograph you choose to add.

4. How Information Is Disclosed

4.1 Public. A Match's public page, which may be viewed without signing in by anyone with the link, shows the names, divisions and squads of approved Competitors and identifies each squad's leader. Selecting a Competitor shows that Competitor's profile photograph, rifles and social media links, if added. Once a Match is under way, scores are published as scoring tablets synchronise them, and final placings are published when the Match ends. Email addresses, telephone numbers, PRS numbers, home club and emergency contact details are never published. A person who does not wish to appear on a public roster should not register through the Service and should contact the Club's Director instead.

4.2 Directors. The Directors of the Club running a Match can see all information in a registration for that Match, including email address, telephone number, PRS number, club membership number and emergency contact.

4.3 Scoring tablets. A scoring tablet joined to a squad receives the names of the Competitors in that squad so that it can record their scores. It does not receive email addresses, telephone numbers or emergency contact details.

4.4 The Company. Eric Wilson, who operates the Service on the Company's behalf, has technical access to the Service's database.

4.5 No other disclosure. The Company does not sell, rent or trade personal information, and does not share it with advertisers, data brokers or analytics providers.

5. Service Providers

The Company uses the following service providers to operate the Service:

  • Google Firebase Authentication, to verify your identity when you sign in. Google's own privacy terms govern its handling of that information.
  • DreamHost, to host the Service and its database in the United States.
  • Resend, to deliver email sent by the Service.
  • The United States Census Bureau geocoding service, to which a Club's address is sent, when the Club saves it, in order to determine its map position. No Competitor information is sent to this service.

6. Retention

6.1 Personal information is retained indefinitely, because Match results form a lasting record of each Match. Registrations, scores and profiles remain in the Service unless removal is requested.

6.2 The following exceptions apply:

  • network address digests are removed once they have not been used for one hour;
  • recipient email addresses and message contents in the Service's email records are erased 90 days after the message was sent; and
  • an invitation that is not accepted ceases to function after seven days, but the invitee's email address is retained until the invitation record is deleted.

7. Account Deletion

7.1 A Director may request deletion of their own account from the Account section of the Service's Settings, except while the Director is the owner of a Club. Deletion takes effect 30 days after the request, and signing in again within that period cancels the request.

7.2 On deletion, the Company removes the account's sign-in identities, rifles and profile photograph, and erases the account holder's name, email address, telephone number, PRS and club membership numbers, emergency contact, home club and social media links from the profile and from the account's registrations.

7.3 Competitors cannot currently request deletion through the Service. Any user may request removal of their personal information by contacting us, and we will carry out the request manually. We will inform you of any information that cannot be removed. Scores already published as part of a Match's results may need to be retained as part of the record of that Match; we will discuss any such retention with you before deciding it.

8. Your Choices

  • Access. You may ask us what personal information we hold about you.
  • Correction. You may edit your profile in the Service, and you may contact us to correct any information you cannot edit.
  • Deletion. You may delete your account as described in section 7, or ask us to remove your information.
  • Withdrawal. You may withdraw from a Match for which you have registered, from the Match page, until registration for that Match closes.

9. Children

The Service is not directed at children under 13, and the Company does not knowingly collect personal information from children under 13. Whether and how minors participate in a Match is determined by the Club running it, together with the waiver accepted for that Match. The Service records only the acceptance of that waiver.

10. Security

Passwords are handled by Google Firebase Authentication and are never received by the Company's servers. Information is encrypted in transit, and the database is not publicly accessible. No method of transmission or storage is completely secure, and the Company cannot guarantee the security of personal information. The Company will notify affected users promptly if it learns of a breach affecting their personal information.

11. Changes to This Policy

We may amend this Privacy Policy from time to time. When we do, we will update the "Last updated" date above. If an amendment materially affects what information we collect or who can see it, we will announce it on the Service.

12. Contact

Questions or requests regarding this Privacy Policy may be sent to admin@matchdirectorhq.com. The Company does not publish a postal address.

13. Governing Law and Additional Rights

This Privacy Policy is governed by the laws of the State of New Hampshire, United States. Residents of jurisdictions with their own data protection laws, including California, the European Union and the United Kingdom, may have rights in addition to those described here, and we will honour those rights on request.
